When most people think about notarization, they picture a quiet office, a desk, a few documents, and a stamp.
In reality, notarization does not always happen in such predictable settings.
One of the things I have learned as a Notary Public is that life does not pause simply because a document needs to be signed. People travel. Emergencies happen. Deadlines exist. Sometimes the only way to get a document properly executed is to meet a client exactly where they are.
Over time, this has led to some very unusual notarization locations.
1. Airports
Airports are one of the more surprising places where documents get notarised. It is not uncommon for someone to realise they need a document notarized just before an international flight. A parent travelling with a child may suddenly need a travel consent form, or a business owner might need to execute a power of attorney before leaving the country. Rather than postponing everything, a notary can meet them at the airport and complete the process there.
2. Hospitals
Hospitals are another place where notarization often takes place, even though many people do not expect it.
When someone is facing serious medical issues, legal matters cannot always wait. Documents relating to healthcare decisions, powers of attorney, or estate planning may need to be signed while a person is still capable of making those decisions. In those moments, the location matters far less than ensuring the person understands the document and is signing willingly.
3. Correctional Facilities
Correctional institutions are also places where notarization happens. Inmates still have legal rights, property interests, and family responsibilities. Documents such as affidavits, powers of attorney, or other legal declarations may need to be executed, and notarization gives them the proper legal weight.
4. Cars and Parking Lots
Cars have quietly become unexpected signing rooms. With mobile notarization, documents can be completed in parking lots, outside office buildings, or wherever a client and notary can meet safely. As long as identification can be verified and the signing requirements are followed, the law does not require a conference room or formal office setting.
5. Coffee Shops and Hotel Lobbies
Coffee shops and hotel lobbies have also become convenient meeting points for notarization. These locations are often chosen because they are easy to access and provide a neutral space for both the notary and the client. While it may feel informal, the legal requirements of the notarization process remain the same.
At the end of the day, notarization is less about the location and more about the integrity of the process.
A notary’s responsibility is to verify identity, confirm that the signer understands the document, and ensure the signing happens willingly. As long as those requirements are satisfied, the process can take place in more locations than people might imagine.
Notarization may traditionally belong in an office, but in practice, it often meets people wherever life happens.
