How KBA Works in Remote Online Notarization

KBA presents signers with a series of multiple-choice questions based on their credit file and public records. Questions might relate to past addresses, loan amounts, vehicle registrations, or other personal data. Signers must answer correctly within a time limit (typically 2 minutes). Most states require a minimum score of 5/5 or 4/5 correct answers.

If a signer fails KBA, the notary cannot proceed with the remote notarization. Depending on the platform, they may get one or two attempts. Failure reasons: the signer has a thin credit file (common for recent immigrants), they're answering incorrectly, or there's a freeze on their credit. In these cases, the signer typically needs an in-person notarization instead.

In addition to KBA, most RON platforms require credential analysis: the signer presents a government-issued ID (driver's license, passport) to a camera, and automated software verifies authenticity. The system checks for security features, tampering, and matches the photo to the signer's face. This two-factor approach (KBA + credential analysis) is required in most RON states.

RON platforms typically include KBA and credential analysis costs in their per-transaction or subscription fees. Some charge separately per signer. As a notary, you factor these costs into your pricing. Most platforms bundle verification into their fee structure.

All RON transactions must include a complete audio-visual recording of the session (typically stored for 5–10 years depending on state). The recording must capture the entire notarization including identity verification. Your RON platform handles storage — confirm their retention policy meets your state's requirements.
